Meetups are one time in person get togethers of the AID community.

Any member can organize a meetup.

Meetups should be considered projects.

Community team should be able to determine who lives near the meetup so the organizer can reach out to them. Data Team should figure out where the community is.

Someone at the meetup should write a debrief for members who could not attend. Community Team can create a template for this.

Organizer is responsible for securing a venue. Local members and CT can help with this.

AID isn’t going to plan and push meetings out but rather wait for the demand to rise organically. If members want to meetup in person, this document and the Community Team are here to help them do so successfully.

The organizer is responsible for filling out the details below. Most importantly, the organizer needs to reserve a venue and time for the meeting. We encourage the organizer and other members to reach outside of AID to invite people. The Community Team can help the organizer market the meetup to the AID community via tweets, newsletters, and plugs in Spaces. The Team can also share best practices, common pitfalls, and other resources that could be helpful.

We will use the LA May Meetup as a case study. The Team will coordinate with the organizer to figure out what we need to do so members can organize these meetups themselves with limited involvement from us.

Getting someone passionate about event planning on The Team could be a great resource.

Meeting Start

Ask people to introduce themselves, what they are working on, some recent wins, asks, and offers.

This should take about 20-30 minutes. After that, break up into groups.
